These Terms and Conditions apply to services provided by MJ Inventory Services Ltd (“we”, “us”, “our”) to landlords, letting agents, property managers and other clients (“you”, “your”).

 

By booking our services, you agree to these Terms and Conditions.

1. Our Services

MJ Inventory Services Ltd provides:

  • Property inventory reports
  • Check-out reports
  • Mid-term inspections

Our reports record the condition of a property and its contents as reasonably observed at the time of inspection.

Unless specifically agreed in writing, our services do not include check-ins, property management, cleaning, repairs, valuations, EPCs, floor plans, photography services or specialist surveys/testing.

2. Bookings & Access

The client is responsible for providing accurate booking information, including the correct property address, appointment details and suitable access.

The client must ensure that the property can be accessed at the agreed appointment time and that any keys provided are correct and functional.

If we are unable to gain access or carry out the inspection because of missing/incorrect keys, lack of access, a tenant or occupier preventing access, or other circumstances outside our reasonable control, a charge may apply.

3. Cancellations and Missed Appointments

Cancellations made more than 24 hours before the scheduled inspection will normally be accepted without charge.

Cancellations made less than 24 hours before the appointment will incur a charge of 50% of the agreed inspection fee.

A £75.00 charge may apply where an appointment is missed or access is unavailable without prior notice.

Appointments may be rearranged subject to availability.

4. Pricing and Additional Charges

All prices are exclusive of VAT.

MJ Inventory Services Ltd is not currently VAT registered and therefore VAT will not be charged.

Additional charges may apply where a property requires substantially more work than included in the agreed service.

Additional rooms or areas, including en-suites, garages, additional lounges, conservatories, utility rooms, gardens or outbuildings, may be charged at £10.00 per additional room or area where a separate entry or assessment is required.

Properties containing an unusually large quantity of crockery, cutlery, utensils or similar contents may incur an additional £35.00 charge.

Where reasonably possible, additional charges will be discussed with the client before the report is completed.

5. Inspection Limitations

Our inspections are primarily visual inspections.

We do not normally move heavy furniture, dismantle items, remove fixed coverings or carry out invasive inspections.
Areas that are locked, inaccessible, obstructed or unsafe may be recorded as such in the report.

We do not test electrical, gas, plumbing, heating, fire safety or other installations unless specifically agreed in writing.

We are not responsible for defects, damage or conditions that are hidden, concealed, inaccessible or not reasonably observable at the time of inspection.

6. Reports and Photographs

Reports are prepared based on our observations at the time of inspection and may include photographs of the property, fixtures, fittings, furnishings, appliances and other relevant items.

Photographs are used to support the written report and are not intended to constitute a professional photography, surveying or valuation service.

For check-out reports, where a previous inventory is available, comparisons may be made with that information. Decisions regarding tenancy liability or deposit deductions remain the responsibility of the landlord or letting agent.

7. Report Delivery and Corrections

Reports will normally be delivered electronically to the email address provided by the client.

The client should review the report after receipt and notify us of any factual or administrative errors.

Where an error has been made by us, we will make reasonable corrections where appropriate.

Requests requiring additional work, a property revisit or material changes to an already completed report may incur an additional charge.

8. Client Responsibilities

The client is responsible for providing accurate information, appropriate instructions and suitable access.

The client should inform us of any known hazards, access restrictions or circumstances that may affect the inspection.

We may refuse or stop an inspection where we reasonably believe there is a significant risk to our health or safety.

9. Payment

Invoices must be paid in full within 7 days of the invoice date, unless otherwise agreed in writing.

Interest may be charged on overdue amounts at 8% above the Bank of England base rate, calculated daily from the date payment becomes overdue, where permitted by law.

We may require payment before undertaking further work where previous invoices remain unpaid.

10. Liability

We will provide our services with reasonable care and skill.

Nothing in these Terms and Conditions excludes or limits liability where doing so would be unlawful.

Subject to this, we are not responsible for hidden, concealed or inaccessible defects, or matters that could not reasonably have been identified through the agreed inspection.

 

We are also not responsible for losses arising from inaccurate information, lack of access, or circumstances outside our reasonable control.

Where applicable, claims may be covered by our professional indemnity and/or public liability insurance, subject to the terms, conditions and limits of those policies.

11. Complaints and Data Protection

We will consider complaints fairly and aim to resolve them within a reasonable period.

Personal information is handled in accordance with our Privacy Policy and applicable UK data protection legislation.

12. General

These Terms and Conditions, together with any agreed quotation and our Privacy Policy, form the basis of the services we provide.

We may update these Terms and Conditions from time to time. The version applicable to a booking will normally be the version in force when the booking is accepted.

These Terms and Conditions are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction, subject to any applicable legal rights.

By booking or instructing MJ Inventory Services Ltd, you confirm that you have had the opportunity to read and accept these Terms and Conditions.
